When a visit is planned, you can pre-register visitor details in advance. This means you always know who is coming, can send invitations quickly, and keep visitor flows organized.

All registrations can be managed through the DFD Basic software portal, accessible from your computer or mobile app. Simply enter the visitor’s name, phone number and email address — as often as needed. No more endless paper lists or unclear spreadsheets.

With this modern system, you offer visitors a professional experience from the very first contact and register all visits securely and clearly.

A carefree reception moment

Pre-registration ensures a smooth and relaxed arrival.
Visitors who are pre-registered receive an automatic email with their personalized QR code. This will reassure your visitors. Visiting an unfamiliar place can be stressful, especially during a first meeting or important appointment.
Upon arrival, visitors simply scan their QR code at the digital reception kiosk for a fast, intuitive check-in.
Not pre-registered? No problem. Visitors can also register manually on the kiosk. And if you want an extra professional touch, you can add a badge printer that instantly prints visitor badges.

Everything starts on the homepage: click “Sign Up” to register manually.

Your home page is fully customizable to match the look and feel of your organization and make it easy for your visitors to find their way around.

Are you expecting international visitors? DFD Basic supports multiple languages. Available languages include: Dutch, English, French, Danish, Swedish, German, Welsh, Italian and Icelandic.
You are now on the page “Reason of your visit”.

Visitors select the category that applies to them, such as “business visitor,” ”application candidate“ or ”delivery.” This will ensure that your visit inside the building is properly supervised.

Now enter your personal information to complete the registration. Visitors enter their personal information so the system can register their visit and notify the right contact person.

Data is kept strictly confidential and is not permanently saved in the Digital Frontdesk system. With DFD Basic, you decide how long you store data.

You can create the registration forms yourself, for example:

In a school

Name of visitor, name of child, class number.

In a hospital

Visitor’s name, date of birth, phone number.

In an office

Visitor’s name, e-mail, phone number.

Your registration is confirmed: notify your contact person of your arrival.
You can now enter the name of your contact so that he/she will be informed immediately.

Thanks to DFD Basic’s technology, this is easy, fast and intuitive: simply type in the first three letters of the name and the system automatically makes suggestions.

For employees: receive real-time notifications
As soon as a visitor selects your name, you will immediately receive a notification. Depending on your preferences, you can receive this notification:

  • by e-mail
  • or directly by SMS 

This way, you are always quickly informed and can receive your visitor on time.

Summary of your registration: Before completing the registration, visitors see a clear summary of their information:

Personal details

Visitors will see everything you entered, such as your name, phone number and any additional information.

Selected contact person

Visitors can make sure the correct name is selected so the notification is sent to the correct person.
